Frequently Asked Questions

Virtual Assistant FAQ

  • Auxo VA retainers range depending on number of hours per month and which level of assistant (admin or executive/operations).

  • Admin assistants excel at the detailed, day-to-day work — the stuff that keeps your business running but eats up your time. Executive and ops-level assistants take it a step further, bringing more proactive, strategic support to the table: thinking alongside you, anticipating what's coming, and helping streamline how things run. At both levels, we're always vetting for intuition and critical thinking — not just task completion.

  • We can typically match you with an assistant within 1-2 weeks of your first conversation with us. Once you've confirmed your onboarding path and selected your VA, we build your custom support plan and get your onboarding scheduled within days. Whether you want to interview candidates, run a test project, or just dive right in — we move at your pace.

  • That's more common than you'd think, and it's exactly what the Delegation and Growth Strategy session is designed for. Before jumping into a retainer, that 3-session process helps you map out what to keep, what to hand off, and what your VA should actually look like. If you go on to hire a VA through Auxo, the onboarding fee is waived. It's a solid starting point if you're feeling stuck on where to even begin.

  • Every Auxo VA is U.S.-based, and they go through a 4-phase Whole Person Interviewing process before they ever land on our shortlist. That means by the time you're meeting candidates, you're not sorting through maybes — you're choosing from people who've already been vetted for skills, communication, and cultural fit.

  • It happens, and we don't make it weird. First, we look at whether it's a communication or process issue we can fix — sometimes that's all it is. If it's a personality or working-style mismatch, we have a full team of vetted VAs and we'll find someone who's a better fit.

  • We require a 3-month minimum to start with any of our virtual assistants. If you need to cancel altogether, 30 days' written notice is all we ask. You're not trapped into long-term contracts.

  • Virtual Assistants, as contractors, can create their own schedule. However, they only count hours of work they are actively completing for you, without the payroll taxes of a W2 employee. If you don’t need them full-time, no problem.

Virtual Assistants don’t get paid vacations or sick days. Here at Auxo, we have assistants on the team ready to step in when yours is out.

  • For virtual assistant support, we bill on a monthly retainer. Your first invoice is due prior to your onboarding call. All other invoices are due within 14 days of receipt. Your retainer level will also determine the rollover hours available to allow for flexible support if you’re a little short on tasks for your assistant one month.

Recruiting FAQ

  • Auxo's flat-fee recruiting starts at $3,500 for Core Recruiting Support and $6,250 for Full-Service Support. Both options are structured around the complexity of the role, not a percentage of the hire's salary — which means we're focused on finding you the right person, not negotiating compensation to inflate a commission. Payment plans are available, and if you've completed a Delegation and Growth Strategy session, you'll receive a discount.

  • Core Recruiting Support covers the full hiring process from job description through candidate presentation — screening, one round of interviews conducted by our team, and a curated shortlist of top candidates with clear summaries. Full-Service adds a second interview round facilitated by Auxo, role-relevant test projects for finalists, and a structured onboarding plan to set your new hire up for success from day one. If you want more hands-on guidance through the decision and transition, Full-Service is worth it.

  • It depends on the role and how quickly you're able to move, but most clients go from kickoff to candidate presentation within 3-5 weeks. The process has six clear phases — discovery, job description creation, sourcing and screening, candidate presentation, interviews, and offer support — so you always know where things stand. More complex roles may see a longer, 6-8 week fulfillment timeline.

  • We work primarily with small business owners and consultants hiring for operational and administrative support roles — think executive assistants, operations coordinators, project managers, and similar positions. If you're not sure whether your role is a fit, the Right Fit Consultation is the place to figure that out. We'd rather have that conversation upfront than take on a search that isn't in our wheelhouse.

  • Traditional recruiters typically charge a percentage of the hired candidate's first-year salary — often 15-25%. On a $60,000 role, that's $9,000-$15,000, and their incentive is tied to salary negotiation, not fit. Flat-fee recruiting means the price is set before we start, our incentive is aligned with yours, and you know exactly what you're paying. No surprises, no inflated commissions.

  • No, but it helps — especially if you're hiring for the first time or haven't clearly defined the role yet. The strategy session gives you a customized job description and a clear picture of who you're actually looking for before we start sourcing. If you complete it first and then move into recruiting, the $575 applies as a credit toward your recruiting package. It's not required, but clients who do it tend to feel a lot more confident going into the process.

  • That's a fair question, and one worth asking any recruiter before you hire them. Most of our placements work out to the ecstatic satisfaction of our clients — and our process is designed to keep it that way. Every candidate is screened, interviewed by our team, and presented with detailed summaries so you're making an informed decision, not a gut call with limited information. Full-Service clients also get test project oversight and a structured onboarding plan, which makes a real difference in early retention. And if a placement doesn't work out within the first month, we'll restart the search at no cost.
