Auxo Client Stories

From Owner Overload to a Team That Keeps Business Moving

How Auxo helped a commercial printing equipment reseller turn scattered operations into clearer processes, defined responsibilities, and dependable support.

"Erin is absolutely phenomenal. I wish I had her on my team 10 years ago. I would’ve retired a long time ago and Iris has done an excellent job as well. Thanks for the great team and what I say is hallelujah for the team you put together."

The Challenge

A Business Built on Relationships, Held Back by Operations

After more than four decades in the printing equipment industry, Howard knows where he brings the most value: building relationships, solving customers' problems, and closing deals.

As Owner and President of National Sales of a commercial printing reseller, Howard works with customers around the world, helping businesses buy, sell, and relocate industrial printing equipment.

But behind those relationships was an increasingly complicated operational workload.

Inventory records, buyer inquiries, proposals, follow-ups, marketing campaigns, and vendor coordination were spread across multiple systems and processes. Important details depended heavily on individual employees' knowledge, and too many decisions and administrative tasks kept coming back to Howard.

As he put it during our initial strategy work:

"I like being in front of customers. I like talking to them on the phone. I talk to them all the time, you know. Okay. Everything else needs to come off my plate.”

The problem wasn't simply finding someone to take tasks off his hands. His company needed a more reliable way to manage the work itself.

Our Approach

Understand the Business Before Delegating It

Auxo didn’t begin by handing an overflowing task list to a virtual assistant. Samantha worked with Howard and his existing team to map how the business actually ran: buyer inquiry to fulfillment, seller intake, listings, inventory and marketing.

That process uncovered gaps in data, follow-up, accountability and visibility. Together, we documented processes, identified system improvements and defined two complementary roles.

Samantha then worked hand in hand with Howard and his team to develop practical process documentation, recommended improvements to the company's systems, and designed a support structure built around two complementary roles rather than one person trying to do everything.

  1. 01

    Map the Work

Buyer, seller, inventory and marketing workflows were mapped end to end with Howard and his team.

  2. 02

    Clarify Ownership

Gaps in data, follow-up, accountability and visibility were surfaced, documented and assigned.

  3. 03

    Build the Right Support

System improvements were identified and two complementary roles were defined around the real work.

 The Solution

The Right People, With the Right Responsibilities

With a clearer operational foundation, Auxo helped build a support team around the company’s actual needs.

Role A

Buyer & Sales Administrative Support

  • Buyer inquiries
  • Proposals
  • Lead tracking
  • Customer communications
  • Vendor coordination

Role B

Executive & Operations Support

  • Seller coordination
  • Inventory
  • Marketing
  • Reporting
  • Invoicing
  • Operational oversight

The problem wasn't simply finding someone to take tasks off his hands. His company needed a more reliable way to manage the work itself.

The Impact

Support Howard Could Count On

Auxo’s impact with Howard went beyond getting tasks done. His company gained documented workflows that could be shared and improved, clearer ownership across core business functions, and a support team better aligned with the way Howard works.

Reusable Workflows

Processes are documented and more reusable, so the work no longer lives only in Howard’s head.

Clearer Responsibilities

Each role knows what it owns, and better-aligned support means fewer decisions boomerang back to the owner.

Hands-On Partnership

Auxo remains involved in day-to-day operations, refining workflows as the business evolves.

From identifying missing inventory information to helping resolve time-sensitive proposal issues, the relationship combined strategic oversight with practical, hands-on support.

"Erin is absolutely phenomenal. I wish I had her on my team 10 years ago. I would’ve retired a long time ago and Iris has done an excellent job as well. Thanks for the great team and what I say is hallelujah for the team you put together."

Most importantly, Howard felt the relief of a well-run business and a team he could rely on.

Your Business Might Need More Than Another Set of Hands.

 The Takeaway

Hiring help is one thing. Creating an environment where that help can make a meaningful difference is another.

At Auxo, we understand that effective delegation isn't just about getting work off your plate. It's about creating a better way for the work to get done.
